About the Position:
Rivershed is a remote team working mostly from locations within the Fraser Watershed. Candidates must have an appropriate home office set-up and be comfortable working with virtual supervision.
The Executive Assistant/Operations Coordinator will play a key role in helping the executive team stay on track, aligned, and moving forward. This position combines administrative and strategic support, helping to keep day-to-day operations running smoothly while advancing Rivershed’s Mission and Goals.
This position works closely with both the Executive Director and the Director of Strategic Initiatives & Government Relations, supporting work across the organization. We’re looking for someone who is not only highly organized and capable, but also a good fit for working collaboratively with our leadership team. Key Responsibilities
- Executive & Administrative Support (30%)
- Support both the Executive Director and Director of Strategic Initiatives by managing schedules, priorities, and action items.
- Take clear notes during meetings and track follow-up items to ensure progress.
- Draft short summaries, briefing notes, and background materials to support meetings and decisions.
- Coordinate meetings, manage shared calendars, and ensure that agendas, materials, and next steps are documented.
- Help maintain and update the organizational workplan so priorities and deliverables are clear and visible.
- Operations & Systems (30%)
- Manage internal systems, including Microsoft Planner and SharePoint, ensuring they are organized, accessible, and up to date.
- Create and manage team tasks and timelines, and ensure that nothing is missed.
- Maintain consistent file naming conventions and improve shared document storage and accessibility.
- Develop and update templates, checklists, and process guides to support recurring tasks and improve efficiency.
- Support document and information management across teams, identifying gaps or improvements as needed.
- Strategic Coordination (30%)
- Track deliverables across departments and ensure they align with Rivershed’s strategic plan.
- Monitor progress on cross-team initiatives and flag issues or delays early.
- Keep the organizational workplan and key timelines up to date and visible for the whole team.
- Identify areas where workflows could be improved or better coordinated across teams.
- Communications & Special Projects (10%)
- Support internal communications, including staff updates, templates, and knowledge-sharing.
- Help document organizational decisions, tools, and lessons learned for long-term use.
- Assist in running project debriefs and feedback processes after major events or deliverables.
- Bring forward ideas to help improve how we work as a team — especially around communication, alignment, and efficiency.
About You
- Detail-oriented, organized, and good at keeping others on track.
- Strong written and verbal communicator.
- Proactive, flexible, and able to adapt in a fast-paced nonprofit environment.
- Comfortable working independently while also collaborating across a team.
- Familiar with Microsoft 365, and other productivity tools.
- (Desirable) Experience in nonprofit operations or working directly with an executive leader.
- (Desirable) Lived experience connected to the Fraser Watershed or environmental work
Preference will be given to BIPOC youth that live in the Fraser Watershed (based on funding opportunities).
